Assign, Manage, and Work on Stewardship Tasks

The Patient Task Queue displays tasks assigned to the data steward by the data steward as well as unassigned tasks. You can assign tasks individually or in bulk. 

To view the Patient Task Queue, at the top of the page click Stewardship, and then click Patient Task Queue.

Assign Individual Tasks

  1. On the Patient Task Queue page, select a task.
  2. From the Assign Selected menu, select the data steward.

Assign Bulk Tasks

  1. On the Patient Task Queue page, click Bulk Assignment.
  2. Select the responsible data stewards and assign the assignment parameters. When you select multiple data stewards tasks are assigned one at a time to each of the selected users until no tasks remain.
  3. When finished, click Save.

Data Stewardship Task types

The Patient Task Queue includes all tasks belonging to any of the following task categories:

Potential Match – Cross Source

  • Description —This category indicates that two identities were compared with a resulting similarity score above the Manual Review threshold but below the Automatic Match threshold.
  • Data source —The records of the two identities came from different data sources.
  • Result — The Universal Identity does not automatically link the two identities together in a single Link ID – but the identities are a close potential match, so a data steward may want to review the identities in the Universal Identity user interface to assess whether they represent the same person.

Potential Match – Same Source

  • Description –This category indicates that two identities were compared with a resulting similarity score above the Manual Review threshold but below the Automatic Match threshold.
  • Data Source – The records come from the SAME data source.
  • Result – The Universal Identity does not automatically link the two identities together in a single Link ID – but the identities are a close potential match, so a data steward may want to review the identities in the Universal Identity user interface to assess whether they represent the same person. A data stewardship task in the category of “Potential Match – Same Source” may contain identities made up of source records from several sources, but it will contain at least two different identities (each with a different Link ID) with source records from the same source.
Note
Data stewardship tasks in categories Potential Match – Same Source and Potential Match – Cross Source involve 2 or more distinct identities (each with its own Link ID) which might actually be the same person.

Match – Same Source

  • Description – This category indicates that two identities were compared with a resulting similarity score above the Automatic Match threshold.
  • Data Source – The records come from the SAME data source.
  • Result –The end result of the comparison is that Universal Identity automatically links the two identities together in a single Link ID. Because the two identities involve duplication of an identity within the same data source, a data steward will want to be aware of this outcome and determine whether any action needs to be taken in the originating source system.

Prevented Match – Same Source

  • Description – This category indicates that two identities were compared with a resulting similarity score above the Automatic Match threshold
  • Data Source – The records come from the SAME data source, but your Universal Identity instance is configured to prevent automatic matches within records from the same source (either all sources, or just specific sources).
  • Result – The Universal Identity prevents the automatic link of the two identities. Because the two identities involve duplication of an identity within the same data source, a data steward will want to be aware of this outcome and determine whether any action needs to be taken in the originating source system.

Automatic Task Cleanup

When a data stewardship task is created, it is possible that updates, deletions, linking/unlinking, or merging/unmerging actions may alter the grouping of records in the task in a way that renders the task unnecessary. Verato Universal Identity has a cleanup process in place that regularly identifies and closes any such outdated tasks, thus reducing the workload of data stewards by minimizing the number of tasks that require review.

The following conditions under which a data stewardship task is considered outdated and is thus eligible for automatic cleanup:

  • Potential Match - Same Source, Potential Match - Cross Source, and Prevented Match - Same Source tasks
    • The task is not in progress and is not assigned to a data steward at this time.
    • The task has only one Link ID.
  • Match - Same Source
    • The task is not in progress and is not assigned to a data steward at this time.
    • The task has a single record (Source Name + Native ID) that shares the same source as the trigger record.
  • Applied Overlay and Rejected Overlay tasks
    • The task is not in progress and is not assigned to a data steward at this time.
    • The record on which the overlay was triggered was deleted or merged.
Note
We do not close any tasks that are currently in progress and assigned to a data steward. Automatic Resolution is set by Verato when a task is automatically resolved by the automatic task cleanup. Optionally, you can disable the automatic closure of tasks that have a status of Deferred.

Configure Data Stewardship Parameters

Creating data stewardship tasks, the Manual Review threshold, and the Automatic Link threshold are all configurable settings for each Universal Identity instance.

However, not all categories are captured by default.

  • Potential Match categories are created by default.
  • Match – Same Source and Prevented Match - Same Source categories are not created by default.
